If an appointment booking fails, you will see the error message categorized as: Provider not available, Equipment not available, Facility not available, or Invalid Time - Activity contains anchor time.
The key to the success of booking is the setup of Activities/Products/Employees/Resource under the Business Center Level of Configuration. Here you connect all the required Resources together to book the Activity with all required fields. To ensure booking, you must make sure that each Facility/Employee you create becomes a Resource.
You can open an Activity profile to see what is required to perform it, as pictured above. Under the Qualified Resources tab, you can see what Resources are currently able to perform the Activity. For example, if you would like to book the Farm House Fresh Treatment with Suzie Snowflake, but the system will not allow to book with her, you can navigate to the Activity Profile and notice she is not under Qualified Resources. You can then add her to the list and it will be ready for booking. This configuration applies to Facility and Equipment requirements as well. If the Facility or Equipment you wish to book for the appointment is not under the Qualified Resources, it will not allow you to book.
Scheduled Shifts: If the error message occurs with Facility, Provider, and/or Equipment not available, make sure that the Resource has a scheduled shift for the timeslot in question.
Anchor Time: The Anchor Time refers to a set increment that the availability of the Activity is anchored on. For example, if the Activity Anchor Time is set to 30 minutes, you can only book that Activity every 30 minutes - on the hour and half hour. (Activity Anchor Time is configurable within the Activity Profile.)
Preferences: Preferences primarily affect the booking mechanism used within the Reservation Agent Module, since the system is automatically locating appointment availability. For example, let's say you are trying to book an appointment within a certain time with a male Provider as a preference, but there are no male providers available at the time desired (vice versa for female Provider and/or other Resources). This will result in a FAILED status in the reservation agent. To resolve, you must either change the desired time requested or add a male Provider to the schedule.
Availability: This error may occur when there is no available Resources to perform an Activity. In Reservation Agent, you can expand the resolution options to see if there is another timeslot available for the appointment. For further investigation, you can view the Visual Book to see any available/not available time slots for the appointment.
