This Module displays pending charges based on a selected Guest Profile. You can also add sales, adjust sales, process refunds, check Gift Certificate balances, and fulfill back orders.

Accessing POS

You can access POS through the main menu, “S” side menu icon, Visual Book, or Guest Check-In.

NOTE: All functions are subject to your User Permissions. If you are not a Corporate Administrator or POS Manager, your User may be restricted to perform certain functions. 

 


The Ribbon Bar

The Ribbon Bar contains a Guest, Sales, Process, Apply, and Setup group.

  • Guest: Search an existing Guest or add a new Guest
  • Sales: Add a NEW Activity, Retail Product, or Gift Certificate Sale
  • Process: Process payment, refunds, transfers, and other operational functions
  • Apply: Apply a Gratuity/Discount or adjust Service Charge/Taxes
  • Setup: Register to a terminal 

Navigating Around POS

In order to process, adjust, or add a sale, you must search a Guest POS profile. 

If you open POS from Visual Book or Guest Check-In, the system will automatically take you to the POS profile for the selected Guest. If you open POS from the Main Menu or “S” menu, you will have to search a Guest to open their Profile.

 

There are 4 Process functions you may utilize without searching a Guest Profile – Return/Refund, Unpaid Sales, Back Orders, and Gift Balance. However, you may still access them if you are in a Guest Profile.

NOTE: If you are at a single Site/Business Center location, POS will automatically open. If you have multiple Sites/Business Centers, you will have to select the Business Center you would like to view

Icons displayed will indicate if this is an single/package Activity, Liability, Cancellation Charge, if there is a Note attached, or a Cross sell opportunity


View description, associated Resources, Quantity, Price, Discount, Gratuity, Service Charge, Taxes, and Total for the individual line item

You can quickly tell who's profile you're in by looking at the top of the screen

NOTE: Tax labels, tax amounts, and service charge values will vary depending on your system configuration. For this training course, you will see the labels as Tax 1, Tax 2, and Service Charge.

Single Activity

Package Activity

Packages can be expanded to view the individual Activities that makeup the Package.

Product 

Gift Certificate (Liability)

You can select the Gift Certificate icon to quickly add a copy of that Liability sale.

Cancellation Charge

If you have a Cancellation Policy in place and configured, the system will automatically calculate the cancellation charge and post to POS when you CANCEL an appointment. You can choose to delete this charge if desired. 

Note

The bell icon signifies a Note(s). Select the Icon to view the Note(s).

Up & Cross Selling

The dollar sign indicates that there is a Cross selling opportunity with a complementary Product . Select the Icon to view the opportunity.

Here you can click on a Product to view a sales script, and "Select" to add the Product as a sale.

 


Setup

In order for you to tender payment for a Guest, you MUST register to a terminal first. 

Once you have registered a terminal, you do not need to register the next time you log in. This is how the system knows to communicate to you computer and/or for any additional interfaces you may be running.

 

To Register a Terminal

Step 1:

Select "Terminal" 

NOTE: Make sure you are logged in as your own user

 

Step 2:

Select the Target Terminal you with to register from the dropdown list

 

Step 3:

Select “Register”

 

Step 4:

Sign out of the system and then sign back in

 

Step 5:

Open the POS Module

 

Step 6:

You have registered your user to a terminal!
